Domain Name Exception 

Applicability

If a required domain name is not consistent with

  • [agencyacronym].texas.gov  or
  • [agencyname].texas.gov,

it is considered an exception to the established naming convention within the Internet and Email Domain Management Policy, and is subject to the Domain Name Exception process.

Quarterly Schedule

DIR will follow a quarterly process and consider exceptional names only once during a quarter as described in the schedule below.  Agencies should plan to submit their Domain Name Reservation Form in order to meet the schedule for that quarter. Any exceptional requests received after the submission date will be considered in the following quarter.

Q4 - June 15

(or next business day if the 15th falls on a weekend or holiday)
  • Agency submits Domain Name Reservation Form acknowledging the name requested is an exception to the policy
  • Exceptional domain names must be submitted by the 15th of the first month of the quarter
  • Exceptional domain names submitted after the deadline will be considered in the following quarter

Domain Name Exception Process

Upon receipt of a domain name that does not meet the established naming convention:

  • DIR will notify the requesting agency that the domain name is classified as an exception
  • DIR will review and research the domain name to determine whether it
    • is suitable for its intended purpose
    • is singularly unique
    • presents a potential conflict with other agency programs or services
    • is recognizable by the public
  • If DIR's review determines that the requested domain name successfully meets this criteria, DIR will notify the agency that the exceptional name has been reserved for its use
  • If DIR's review determines that the requested domain name does not meet this criteria, DIR will 
    • notify the agency that the requested name will be posted for agency review and comment
    • post the exceptional name to the Domain Name Exceptions Under Review page for 15 days
    • accept agency comments from the agency IRM or designee authorized to provide response that represents the agency position
    • review the comments and 
    • notify the requesting agency of the decision to authorize for agency use or reserve for generic use

State agencies should email comments for DIR to take into consideration regarding any exceptional names requested. The requesting agenicy will be notified of the outcome according to the authorization schedule below.

Notification of the resolution will be emailed to each agency no later than the Authorization Decision date.
